5. Administration and Preparation
We thoroughly check all interview information and documentation and maintain our eye for detail so as to maintain your legal rights in preparation of all documents. We carefully supervise the execution of Residential Tenancy Agreements and Rental Bonds.
6. Pre Occupancy Inspection
Portfolio Realty management, prior to the signing of a Residential Tenancy Agreement for your property, carries out a thorough detailed condition report. We also take file photographs with your approval. These are referred to at the end of the tenancy to ensure the rental bond is distributed accurately.
7. Regular Inspections
As part of our role, we inspect your property 2 times a year. We report to you on our findings and provide you with recommendation for general maintenance, painting and carpet condition.
8. Pre-Vacation Inspection
When the tenancy is terminated, Portfolio Realty Management will carry out a final inspection of the property and arrange:
Inspection of the property with the outgoing tenant to show the property if applicable.
- Review the asking rental
- Determine any maintenance and repairs required.
- Ensure the outgoing tenants obligations to the lease in relation to cleaning and repairs.
- The results for this inspection will be provided to you
9. Final Inspection
Once the tenant has vacated the property, Portfolio Realty Management will conduct a thorough inspection of your property to determine the tenants Rental Bond refund. With your permission, digital photos are taken.
10. Rent Collection
We take the hassle out of rental payments with our tenants. Tenants are required to pay by either B-pay or direct debit. Their rental is deposited directly into our bank trust account on the due date. This automatic system dramatically reduces arrears and ensures tenants pay the correct amount on time.
11. Rental Arrears control.
Arrears are checked twice a week. We are able to act immediately if arrears occur. We immediately contact the tenant. Tenants in arrears will be immediately notified by warning letter and those who do not comply, subject to discussion with you first, will be served with a Notice of Termination which gives them 14 day to vacate. We will keep you fully informed in these situations.
12. Repairs and Maintenance
All repairs are carefully monitored and we act on repairs in accordance with your instructions in your Management Agency Agreement. Emergency repairs such as hot water, electricity and plumbing will be attended to as soon as possible as they are essential services and a tenant’s entitlement. Maintenance records are maintained for future reference. Repairs carried out, are paid from rental funds held on your behalf held in our bank trust account. Details of the repairs and a copy of the relevant invoices are attached to your monthly rental statement.
13. Payment of Outgoings
We can arrange payment of all standard property outgoings on your behalf as instructed in you Management Agency Agreement. With reference to Water Rates, we will automatically invoice the tenant for any water usage charges where the property is separately metered.
14. Rental Reviews
Portfolio Realty Management will ensure that you get the full market rental of your property in the area. We are continually assessing the rental market for comparable properties in the area and vacancy history in the area to ensure you are achieving the best rental at the time. We will recommend rental increases where justified and discuss these matters regularly with you. Our annual rental property survey is of great assistance with this.
15. Tenant Supervision
At all times we will ensure that your tenants are aware of all their obligations under their Residential Tenancy Agreement and what is expected from them in relation to correct payments in advance, property maintenance, noise and visitor behaviour. We ensure the Residential Tenancy Agreement is complied with.
16. Accounting
We prepare rental statements each month. The statement shows all income and expenditure, rent paid, period paid to and any disbursements paid on your behalf. Your rental moneys can be electronically transferred to your nominated account or a cheque attached to your statement. We are also able to send your rental statements via email.
17. Tenancy Disputes
From time to time disputes between owners and tenants arise, usually over rental increases, repairs and maintenance and rental bond issues. At all times, we aim to act professionally and diplomatically and by doing so, most of these issues can be solved. It may be necessary however, if the matter can not be resolved by negotiation, to apply to have the matter heard by the Residential Tenancy Tribunal. This is an independent third party that will hear the dispute and hand down a decision on the matter. As you managing agent will advise you in the situation of your best interests and rights.
18. Financial Reporting
We produce annual financial statements in July of each year which provides a summary of income and expenditure for the financial year for your property. This is a time and money saver with your accountant.
19. Property Performance and Sales
We are able to provide you with a performance summary of your property annually so that you can review its yield performance against market value. This will help in planning future financial decisions and keep you up to date on market conditions and sales values of similar properties
20. Legal Requirements
It is our duty to comply with Government Legislation relating to Real Estate Agency practice. Portfolio Realty are members of the Real Estate Institute of New South Wales and abides by its strict code of ethics
